“Offshore staffing” covers everything from a genuine dedicated-employee model to a thinly-disguised reseller renting you shared time. The label tells you nothing; the answers to a handful of specific questions tell you everything. Here's the checklist to use before you sign anything.

1. Dedicated or shared?

The single most important question. Will you get one named person who works only for you, or a seat in a pool that rotates across clients? A dedicated person learns your business and stays; a shared resource never does. If the answer is vague, assume shared.

2. Where and how do the staff work?

Are they in a managed, secure office or working from home on personal devices? For anything touching client data — finance, admin, support — a managed office with proper controls matters. Ask to see it.

3. What are the replacement terms?

People move on. A serious provider has a clear replacement process — what happens if your hire leaves or underperforms, how quickly they're replaced, and whether there's continuity cover. Get this in writing.

4. How is data secured?

NDAs, access controls, ISO 27001-certified facilities, no local data downloads. If a provider can't explain their security clearly, that's your answer. (We cover this in detail in our data-security guide.)

5. Do they work your hours?

UK-hours working is what makes an offshore hire feel like a team member rather than a night shift. Confirm it's genuinely UK hours, not a few overlapping hours.

6. What reporting and management do you get?

Is there a UK account manager? How is performance reported? A good provider gives you visibility and a point of contact, not just a person and silence.

7. Is the pricing transparent?

One clear monthly fee, or a tangle of setup costs, markups and surprises? Transparent, all-inclusive pricing is a sign of a provider confident in their value. Hidden costs are a red flag.

Run any provider through these seven questions. The good ones answer them plainly and in writing; the rest get vague. That contrast is usually all the comparison you need.
